Events and private galleries

Everything in FotoHook hangs off an event. Inside each event you create the groups you need, and each group is an independent gallery: its own photos, its own users and its own access.

What it does

An event is the whole job: Elena and Marcos' wedding, Sofía's first communion, an academy's end-of-year show. It is the big folder, the one carrying the name, the date and the general sales settings.

Inside each event there are groups, and a group is a genuinely private gallery: its own photos, its own users with access and its own registration code. A wedding can have a group for the couple, one for the family and one for the guests; a school, one group per class; a sports club, one per team.

That separation is what makes each person see only their own. Guests never get into the couple's private gallery and the parents of class 6A do not see 6B's photos, without you creating separate accounts or uploading twice.

How it works, step by step

You create the event

Name, date and description. This is also where you decide whether the event will sell photos or is delivery only, and what base price applies to photos without one of their own.

You add the groups

As many as you need. Each group has its own name ("Family", "6A", "Under-12 B"), can have its own price and automatically generates its access code.

You upload photos to each group

Uploads are per group, so a photo always belongs to one specific gallery and cannot show up where it should not.

You hand out access

Each group has its own link and registration QR; the whole event has another one, in case you want people to register once and see several groups.

You close it when the time comes

A group can be disabled at any point: anyone trying to get in sees that the window has closed, but neither the photos nor the orders are lost.

Details worth knowing

Activating and deactivating the event

An inactive event disappears from the client area without deleting anything. It is the clean way to close a job once the download season is over.

Automatic cover image

Every event and group shows the first published photo as its cover, so the client's event list is not a wall of text.

Group sidebar

From inside a group you jump to its photos, its users, its QR access or its settings without going back each time.

No limit on groups

Nothing is charged per event or per gallery: the only limit in your plan is the storage the photos take up.

Ten event types

Wedding, communion, school, sports, academy, festival, party, graduation, composite or other. The type keeps your list usable when you have forty open jobs.

Gallery password

Beyond per-user access, an event or a group can carry its own password. Useful for quick deliveries where you do not want to create accounts.

Start and end dates

The event records when it happened and how long it stays live, which is what lets you close a season without checking each one.

Groups in order

Groups carry their own ordering, so "6A" comes before "6B" rather than in the order you created them.

Base price per group

Each gallery can have its own price, and photos without one of their own inherit it.

Archive without deleting

An archived event leaves your day-to-day list but keeps its photos, orders and clients.

Who it is for

Any job with more than one recipient benefits from splitting into groups: weddings with guests, schools with several classes, clubs with several teams, companies with several departments.

If your job has a single client —a studio session, a product shoot— you create the event with one group and forget about it: the structure stays out of the way.

Frequently asked questions

Photos are uploaded to a specific group. If you got it wrong, the quickest fix is to upload it again to the right group and delete the old one: uploads are bulk and cost no time.

Its groups and photos go too, and the space returns to your quota. Orders already paid keep the record of the sale. It is an action that asks for explicit confirmation.

Yes. A user can be assigned to as many groups as you like, and on signing in will see all the ones that belong to them, from one event or several.
